This Privacy Policy explains how Kaalika Solutions, a sole proprietorship registered in India (proprietor: Sudha Ramalingam; GSTIN 33BWEPS6236F1ZI), collects, uses, and protects your personal data when you use Photolion (the "Service"), available at https://photolion.app.

1. Who we are

Kaalika Solutions operates Photolion. For the purpose of applicable data protection laws (including the India Digital Personal Data Protection Act, 2023 and, where applicable, the EU/UK GDPR), Kaalika Solutions is the data fiduciary / controller for the personal data described below.

2. Data we collect

  • Account data (via Google Sign-In): your name, email address, Google account ID, and avatar URL.
  • App usage data: projects, folder templates, naming templates, workflows, pipeline configurations, and execution history that you create in Photolion.
  • Billing metadata: subscription plan, status, invoices, and AI Wallet balance. We do not store card numbers or bank details — these are held by our Payment Processor.
  • Photos and files: Photolion's core file operations run locally in your web browser using standard browser file-system APIs. We do not receive, host, or store copies of your image files on our servers in the ordinary course of providing the Service.
  • Optional AI features: if you choose to use AI-assisted classification, tagging, or culling, downscaled image previews and limited metadata are transmitted to third-party AI providers we integrate with, only to perform the specific processing you request.
  • Technical logs: IP address, browser and device information, timestamps, and error reports collected for security, debugging, and abuse prevention.

3. How we use your data

  • Provide, operate, and maintain the Service and your account.
  • Process payments and manage your subscription and AI Wallet.
  • Provide customer support and respond to your requests.
  • Secure the Service, prevent fraud and abuse, and enforce our Terms.
  • Debug, monitor, and improve the Service.
  • Send you essential service communications (billing, security, changes to terms).

4. Legal bases

Where the EU/UK GDPR applies, we rely on: contract (to provide the Service you purchased), legitimate interest (to secure and improve the Service), consent (for optional AI processing that you initiate), and legal obligation (to retain invoices and related records for tax, accounting, and export-compliance purposes).

5. Sharing and sub-processors

We share limited personal data with the following categories of processors, strictly to run the Service:

  • Google — authentication (Google Sign-In).
  • Backend infrastructure and database provider — hosts your account and app-usage data as our processor.
  • Payment Processor — processes subscription fees and AI Wallet top-ups as merchant-of-record or payment aggregator.
  • Third-party AI provider(s) — only when you use optional AI features, and only for the inputs you send.

We do not sell your personal data and we do not share it for third-party advertising.

6. International transfers

Photolion is designed, developed, operated, and exported from India for customers located worldwide. Depending on where you and our processors are located, your personal data may be processed outside your country of residence. Where required, we rely on appropriate safeguards (such as processor agreements and standard contractual clauses).

7. Retention

We keep account and app-usage data for as long as your account is active and for a reasonable period afterwards to handle disputes, security, and legal obligations. Invoices, order records, and export documentation are retained for the periods required under Indian tax, accounting, and export-compliance laws.

8. Your rights

Subject to applicable law, you may have the right to access, correct, delete, or export your personal data, withdraw consent, and lodge a complaint with your data protection authority. To exercise these rights, email photolion.support@gmail.com. We will respond within the timeframes required by applicable law.

9. Cookies

We use only essential cookies and local storage required for authentication, session management, and preferences. We do not use third-party advertising or cross-site tracking cookies.

10. Children

Photolion is not intended for anyone under 18. Do not use the Service if you are under 18.

11. Security

We use industry-standard safeguards, including encryption in transit (HTTPS), access controls, and row-level authorization on our backend. No system is perfectly secure; you are responsible for keeping your Google account credentials safe.

12. Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be notified through the Service or by email. Continued use of the Service after the effective date of an update constitutes acceptance of the updated policy.
